Manage users

All user management happens in the Users panel on your tenant's page in the console. The panel lists everyone in your environment with their email, name, role and status.

Change someone's role

Pick a new role from the dropdown on their row. The change is saved immediately and applies the next time they sign in. See Roles and permissions for what each role allows.

Disable and re-enable an account

Disable blocks sign-in without deleting anything — the account, its name and its role are kept. Use it for someone on long leave, or the moment a laptop goes missing. Re-enable restores access with the same password.

A disabled user is signed out as their current session expires; disabling does not always end an open session instantly.

Reset someone's password

Send password reset generates a new temporary password and emails it to the user. They must set a permanent one at the next sign-in. Use this when someone is locked out or never received the original invitation.

You never see, and cannot set, another person's permanent password.

Remove a user

Delete removes the account permanently. They can no longer sign in, and the same email address can be invited again later as a fresh account.

Deleting a user does not delete any studies they uploaded. Image data belongs to the environment, not to the person who imported it.

Deleting is not reversible

There is no undo and no recycle bin for users. If you only want to stop someone getting in, disable them instead — it is reversible and keeps the record of who they were.

When someone leaves

A safe order of operations:

  1. Disable the account the day they leave.
  2. Confirm nothing depended on them (nothing in MyPACS does — studies are shared).
  3. Delete it once you're sure, or keep it disabled as a record.

Also change any password that was shared between people. Shared logins make the audit trail useless, so give everyone their own account.
